According to Spain’s INE, 63.6% of Spanish companies with 10 or more employees use an ERP. And yet, in many of them the online store still works like an island: orders are keyed in by hand, stock is updated with a spreadsheet and website prices don’t match the ERP.
Integrating your ERP with your eCommerce eliminates that work and the errors that reach the customer. Here are the keys.
What data to sync
- Orders: from the store to the ERP, with customer, taxes, shipping and payment method.
- Stock: from the ERP to the store and marketplaces, as often as you need.
- Prices and price lists: from the ERP to the store, including customer-specific pricing in B2B.
- Customers: in both directions, avoiding duplicates.
- Products: codes, families and management data from the ERP; copy and images, ideally from a PIM.
- Invoices and statuses: from the ERP to the customer, so they can check them without calling.
Who owns each piece of data
The most important question in an integration isn’t technical: it’s deciding which system is the source of truth for each piece of data. If the price can be changed both on the website and in the ERP, sooner or later they won’t match. Define a single owner per data point and one sync direction.
Frequency: real time or batch
Orders usually go in real time. Stock, every few minutes, or in real time if you sell across several channels. Prices and products can sync hourly or daily. Set the frequency to what the business needs, not to what the tool allows.
Avoid point-to-point integrations
Connecting every system to every other system works with two pieces. With five (ERP, store, CRM, marketplaces and carrier) it becomes a web of fragile custom builds that break with every update. A central middleware connects each system just once, unifies the data and monitors every exchange.
Monitor and alert
An integration that fails silently is worse than having none. Make sure every message is logged, errors are retried and someone gets an alert before the customer notices.
